Archive management is a very important process in an organization that includes a series of activities ranging from receipt, use, maintenance, to reduction of archives. The main purpose of archive management is to ensure that all documents and information stored can be easily accessed and maintained in accordance with their intended use. In the Planning and Finance Section of the Palembang City Regional Secretariat, archive management faces several significant challenges. One of the main challenges is the use of a manual system in archive management, which not only slows down the process of searching and retrieving documents, but also increases the risk of losing important documents. The absence of competent archivists in this agency is also a problem that worsens the situation, because without sufficient experts, archive management is not optimal. In addition, the accumulation of unorganized archives causes confusion and difficulty in finding the information needed, potentially resulting in the loss of important documents. This study refers to the theory of archive management put forward by Sambas Ali Muhidin (2019), which emphasizes four main aspects in archive management: creation, use, maintenance, and reduction of archives. The research method used is qualitative, with data collection techniques through observation, interviews, and analysis of existing documentation. The results of the study indicate that archive management in this agency is still mostly done manually, with limited storage space resulting in loss of documents and accumulation of archives. Archive reduction has also not been optimal, due to the lack of archivists and the absence of a clear Archive Retention Schedule. Based on these findings, this study recommends strengthening the technology-based archive management system, such as the use of archive management software, as well as the assignment of archivists to support more efficient and effective administration.
